Host an event
Are you interested in planning an event to support the United Way? Any event can be in support of the United Way—you just need to collect donations. Our team can support you in the following ways:
- Supply a donation box
- Provide you with information on how to host a Pit Stop
- Inform you about how to promote your event
- Booking a United Way Impact Speaker
Some ideas of past events in support of United Way have included but are not limited to:
- Wine Survivor
- Bake sales
- Art auctions
- Pit Stops
- Sports games
- Spelling Bees
- Scavenger hunts
Follow these simple steps to successfully host your unit’s own Pit Stop

- Select your preferred date and time and book your space
– You can see if there are any conflicting events by reviewing the UBCO Events Calendar. - Submit your ‘Campus Event Form‘ for approval of your Pit Stop
A Campus Event Form submission is required for all events that take place on campus. This ensures:- Visibility of all events and activities at any given time
- Review of important event details and logistics to support your event’s success
- Review of events that have the potential to interfere and pose a higher risk to the attendees and the university.
*Please also email unitedway.ok@ubc.ca and let them know of your Pit Stop date, time, location, host unit and any support requested at the same time.
- Determine your budget
Host units are welcome to have a theme, prizes or activities. Units that need some financial assistance can apply for funding. - Organize catering
Catering can be arranged through UBC Scholars Catering or any caterer of your choice. To submit a request with UBC Scholars Catering, please fill out this form. - Create and get approvals for the promotions of your Pit Stop
This could include creating:
– Digital signage
– Submission to the Exchange Newsletter
- Submit a Facilities work request if table set up is required
- Submit an IT request (requires CWL log-in) if you would like to have PowerPoint presentations, microphones or any other technology requirements.
- Promote your Pit Stop
You can promote your event on several communications channels:
– UBCO Events Calendar
– UBCO Exchange Newsletter
– Digital signage
– Calendar invitations
– MS Teams channel invitations
- Collect donations for UBC Okanagan’s United Way campaign
-$2 donations are recommended. Email unitedway.ok@ubc.ca to request a donation box and United Way campaign information to display
– Email unitedway.ok@ubc.ca or drop off your box of donations at ADM 102 at the end of your event
Pit Stop FAQ
What is a Pit Stop and who are they for?
Pit Stops are coffee break style events for all faculty and staff at UBC Okanagan that help to build community and raise money and awareness for United Way British Columbia.
When can I organize a Pit Stop for my team?
Pit Stops can be organized throughout the year. Although the United Way campaign runs from October through December, Pit Stops can be booked anytime throughout the academic year.
Where can I promote my Pit Stop?
- MS Teams channels
- Send calendar invites to key attendees
- Post on the UBCO Events calendar
- Post in the UBCO Exchange Newsletter
- Share within your unit’s newsletters
- Post it on digital signage (be sure to specify that your event is aimed at faculty and staff)
